Integrating enquiries with a CRM without losing them

A practical enquiry flow covering ownership, consent, field mapping, duplicate protection, delivery retries and statuses supported by evidence.

This editorial guide was prepared with AI tools. Technical statements were checked against the linked official sources. Calculations and scenarios are labelled as illustrative examples, not client project results.

“Enquiry sent” is useful only when the request is saved and somebody is responsible for it. A Telegram notification does not prove that a CRM record exists. Separate intake, delivery, assignment and manager follow-up. Then an external-system outage does not become a missing contact, and the team can see where the workflow stopped and who should continue it. Specify this flow before choosing a connector.

1. Assign ownership across the flow

Describe the route: form or chat → server intake → saved enquiry → CRM → assigned employee → next contact. Each transition needs an observable result and an owner for failures. A sales manager might own qualification, the CRM administrator its dictionaries and the technical team the delivery queue. Agree who handles evening enquiries too. Automatic assignment is ineffective when the selected employee is unavailable and nobody reviews the waiting queue.

2. Define the minimum data contract

Source and consent recordEnquiry administrationAgreed field set

Do not collect dozens of fields for a hypothetical future report. First make sure a manager can reach the customer and understand the need. Source labels must not overwrite the request; an unsupported language must not silently become Russian. Validate on the server independently of the browser. A public form must not choose an arbitrary CRM status or another employee identifier simply by submitting those values.

Explain why the contact is collected and connect the form to the company policy already in use. Where the agreed process requires it, retain the chosen consent and text version. Separate handling an enquiry from enrolling somebody in marketing messages. Decide who sees contacts, how departing employees lose access and how requests about data are handled. Keep the integration token on the server, outside public page code and operator notifications.

4. Separate delivery repeats from new needs

Repeating one request uses the same idempotency key: an identifier that lets the receiver return an existing result rather than create another record. A new enquiry from the same person gets a new ID and preserves its context. A matching telephone number alone is not proof of duplication; a family or purchasing department may share it. Link an existing CRM contact to a new opportunity when appropriate, but never discard a separate customer need merely because its number matches.

5. Handle downtime and uncertain outcomes

After durable storage, place the enquiry in a delivery queue. Temporary faults allow bounded retries; invalid credentials or a bad format need correction rather than endless resending. An illustrative schedule might use intervals of one, five and fifteen minutes, while actual rules depend on CRM limits. A timed-out request may already have created a record: check the external result by identifier before creating another. Exhausted attempts must leave the enquiry available for manual review with the failure reason.

6. Use statuses that match the evidence

Illustrative sequence: enquiry R-104 is saved at 10:00, the CRM is unavailable, a retry creates C-81 at 10:05 and a manager accepts it at 10:08. “Received” means saved, “delivered” means a confirmed CRM link and “being handled” means an employee action. Do not display the final status immediately after the customer clicks. Provide an understandable receipt and a way to check progress; technical attempts and credentials belong in the internal operating log.

7. Verify both ends before launch

  1. Send a test in every language and compare the form, saved record and CRM fields.
  2. Repeat one request and confirm that it does not create another opportunity.
  3. Send a new enquiry with the same telephone number and retain the new requirement.
  4. Simulate downtime, a timeout and invalid access; inspect the queue and owner notification.
  5. Check reassignment and the link between sales stages and the original enquiry.

Discuss automation scope at https://samsa.agency/en/services/ai-automation and published projects at https://samsa.agency/en/cases. Acceptance should follow the request through to a record and responsible person, rather than stop at a green connector indicator. Schedule reconciliation of received and delivered enquiries so failures after CRM updates remain visible.

Frequently asked questions

Is notifying a manager in Telegram enough?

It can be a working channel for a simple process, but does not replace storage, ownership and status. Identify the record that survives when a notification is deleted or the chat is unread.

When should the customer see a successful submission?

After confirmed storage in the receiving system. If the CRM is unavailable, confirm receipt, without claiming that a manager has already started work.

Does enquiry delivery need an AI model?

Usually it does not. Validation, queues, assignment and retries follow rules. AI can be a separate step, such as preparing a summary of a long request.
